Host Team Onboarding


Volunteer Interest Follow-up


  1. New contact items are sent to me via email and are forwarded to you.

  2. We text these people on Google Voice (found here) saying to them:


    Hey! This is Eric from the Life.Church Stillwater Host Team. We are so glad to have you start serving! Your next step is to attend a Host Team Orientation, which take place at 9:30AM or 5:00PM on Sundays, meeting underneath the big Info sign in the lobby. Let me know what time works best for you!


    After you text them, click the three dots in the top right corner and add their contact information so we have their name for future reference.

  3. Then, add them to the Host Team Orientation Airtable (found here) under the "Serving Interest" sheet and the date that you first contacted them.

  4. When they respond with what time they're interested in, put what time they'll be attending on the Coming to Orientation tab on the Airtable spreadsheet.

Post-Orientation


  1. Background checks are entered at volunteer.life.church by the volunteer when they come to orientation OR, if they've filled out a paper copy, by using Tanner's login information.

    a. To enter a background check, login to Tanner's account and click "Add a new application". From there, first check to see if they are in FellowshipOne by clicking on "Pick one of the existing users". If they do exist, click the plus by their name. If they don't, go back one page and click "Create a new F1 User and enter in their information.

    b. Click "Yes" to both citizenship questions.

    c. Add in the persons information from the background check to the form.

    d. On the following page, click any applicable answers "yes" or "no" based on their background check responses.

    e. Submit the application.

    f. Scan in and email the background check to me.

  2. Check throughout the week to see if the background check has processed. To do so, login into volunteer.life.church and search for their name on the man page. If it says, "Approved", they're ready to start serving.

  3. When the background check processes, text the new volunteers in Google Voice saying,

    Hey! Your background check is approved, which means you're ready to start serving. The 5:30 team huddles at 5:00 in the office. From there, we will get you a name tag, a t-shirt, and partner you with someone for your first serving experience. So glad to have you on the team!

  4. Add these team members to each of the Host Team templates (Host Team A and Host Team B) on the Planning Center website. (this link has all the info you'll need on how to do so!).
